Job Description
- Oversee the preparation of cash floats for each shift, ensuring accuracy and documentation of retail staff sign-offs.
- Manage the effectiveness of the Cash Office change facility for retail outlets.
- Ensure accurate recording of POS (X and Z) readings at the end of each shift, attaching them to closing documents.
- Uphold adherence to company procedures/guidelines in handling and recording all monies.
- Verify and record all receipts, credit card payments, and vouchers in accordance with established procedures.
- Verify cash, credit card, and voucher receipts, reconciling them with retail outlet shift reports, X/Z reports, and Navision cash statements.
- Forward deposit slips, credit card vouchers, and cash office reconciliations to the accounts department.
- Report and record cash excess/shorts, communicating with Finance Manager/Accountant as per protocols.
- Ensure completion of accurate end-of-shift documentation and report discrepancies to relevant personnel.
- Maintain a daily transit voucher transaction log, providing reports to Senior Accountant, Finance Manager, and GM.
- Review and validate refund transactions, ensuring explanations are provided by Duty Retail Sales Managers.
- Attach variation explanation sheets for CCCV variations as per company policies.
- Manage and record movement of Cash Floats in acceptable currencies.
- Promptly report any physical cash discrepancies to senior personnel, following company procedures.
- Ensure adequate stock of cash office stationery and credit card slips.
Security
- Manage access to keys and security codes for authorized personnel only.
- Implement stringent security measures across all areas of the Cash Office.
- Prevent unauthorized personnel from entering the Cash Office.
- Secure exits and entrances at all times.
- Maintain utmost confidentiality of company documentation.
- Conduct regular spot checks on Cash Office Cash records.
- Coordinate with security firm for money lodgement collections.
- Ensure proper security of safes.
- Report security breaches to the management team.
- Prioritize security and safety of colleagues, visitors, and customers.
- Remain vigilant to hazards within the retail operation.
General
- Maintain and record cash receipts, bank deposits, and credit card transactions in Navision system and relevant files.
- Ensure timely bank deposits of reported cash receipts and credit card sales as per company policies.
- Handle foreign currency collections in alignment with company policies.
- Monitor and update daily exchange rates in Navision system, reporting to Finance Manager.
- Immediately report cash shortages and discrepancies to Finance Manager/Senior Accountant.
- Conduct surprise spot checks at POS levels in collaboration with Duty Retail Sales Managers.
- Prepare a monthly report of cash shortages for salary recovery.
- Ensure proper handling of Cash Floats.
- Maintain awareness of cash-related insurance policies and communicate inadequacies to Finance Manager.
- Record manual sales in Navision as per set procedures.
- Submit required reports to the finance division on time.
- Fulfill additional duties assigned by Finance Manager and Accountant.
- Adhere to company HR, Administration, and IT policies.
The Successful Applicant
- Appropriate qualification in Finance or Accounting practices.
- Relevant experience in cash handling, banking operations, retail sales, or cash handling functions preferred.
- Strong analytical skills, organizational ability, and effective communication.
- Proficiency in IT skills, including word processing, spreadsheets, cash handling, and accountancy software.
- Awareness of safety and security considerations.
- Assertive, polite, and helpful demeanor.
- Proficient writing skills for report completion and documentation.
